Case Study: Busy CEO Saves 430 Hours With Personal Systems And Ends "Robotic" Feeling

We met at a conference and stayed in touch. After a few months, we started talking about how he didn't have enough time to do everything and was discouraged that his professional life was overtaking his personal life so much.

So we setup a Clarity Machine workshop to figure out how he was misallocating his TEAMS (time, energy, attention, money, soul).
Here's part of the process we went through to uncover 432 hours (just on the weekdays) that he could reallocate.
WHY Statement
Walking through the Wayfinder's WHYfinder activity was powerful.
We went through the 3 components of your WHY: identity, motivation, value.
The reality vs ideal state of his identities was out of whack and was driving him to a life seeking "hyper-productivity". His company and bank account were growing but the other 4 Types Of Wealth suffered.
Objectives (3-year Goals)
When we started discussing the infamous "What do you want?" question. There was no shortage of "wants". That's a problem. His desires professionally and personally were causing him to spread his TEAMS so thin, he wasn't making headway in anything other than growing his business.
By putting the limiting factor of three Objectives, he was forced to evaluate what he truly wanted for his dream life against his values.
The result was a powerful, integrated combo of Objective that correlated with his professional and personal life.
HUGE WIN: A month later, the clarity on his personal Objectives led him to a breakthrough on a new product for the business.
Evaluation
And this is where the case study ends. Step 3 out of 7.
This is the power of the Clarity Machine's process.
We weren't even halfway through and 1 of the 3 most powerful benefits (according to Morgan) happened on this step.
Evaluation is the 2nd phase of Strategy. We had our Destination and now we needed to understand our Starting Point.
This requires "dangerous conversations" and an honest assessment of how we are investing our TEAMS.
We did the Time & Attention Audit, and were able to judge two different timelines: travel and home.
Morgan has to fly to different cities to meet with clients on a regular basis so we standardized his average business trip and then his average week when he isn't traveling.
This enabled us to find a few underutilized pockets of time where he was "busy with good distractions."
This is a common issue for executives and entrepreneurs (and really any professional in today's world).
There is no shortage of things fighting for your time and attention.
But we have to ask questions like...
- Does this action align with my WHY, Objectives and/or STGs (short term goals)?
- Do I need to use this time for mental and physical rest? If so, am I truly resting?
- How is what I'm doing building my 4 Types of Wealth (4TOW)?
- Is there anything more impactful to what I'm trying to accomplish I could use this time for?
Once we talked it through, it became clear there were things we could totally eliminate and a few we could substitute.
And here's the crazy part...it wasn't a big time slot BUT IT WAS A CONSISTENT TIME SLOT.
The math broke down to something like this when we added it all up...
- Travel Timeline: Estimated 11.5 hours/trip of time to allocate x 18 business trips/yr
- Home Timeline: Estimated 1.5 hours/day x 5 days/wk x 30 weeks at home
- Time for re-allocation: 430 hours or 17.9 days
And to make this result even more incredible...this was only on weekdays and for 48 weeks of the year.
We didn't even calculate the weekends to get this result!

Then, we spent steps 4-7 of the Clarity Machine automating personal systems and getting extreme clarity on the small daily wins he was going to focus on over the next 30 days.
This meant he was able to fill these time slots with highly urgent, important and significant activities.
And the results were immediate!
One of the biggest lies we face is thinking that meaningful change will take a while.
